Booking policy

This Booking Policy governs the conditions that apply to camper booking requests made with CapibaraCamper, regardless of the channel used (website, email, phone or other means).

1. PURPOSE AND SCOPE

A booking covers the temporary rental of a camper vehicle for leisure or holiday purposes. By sending a booking request and/or paying the deposit, the customer declares that they have read and accepted these conditions.

2. BOOKING PROCESS

The usual booking process includes at least the following steps:

  • Selecting approximate pick-up and return dates, number of people and preferred camper model.
  • Availability confirmation by CapibaraCamper and sending of a proposal with an indicative price and conditions.
  • Providing the personal data required for the contract (name, surname, ID document, contact details, etc.).
  • Paying the stated deposit so that the booking becomes confirmed.

3. PAYMENTS AND BOOKING DEPOSIT

Unless expressly stated otherwise in the offer or contract, the following general rules apply:

  • Booking deposit: to block the vehicle for the agreed dates, as a general rule 30 % of the estimated rental amount is paid.
  • Remaining amount: the remaining 70 % must be paid before the start of the rental, within the time frame and using the payment method indicated in the booking confirmation.
  • Payment methods: payments may be made by card or bank transfer in favour of CapibaraCamper, as detailed in the proposal or contract.

A booking is not considered firm until CapibaraCamper confirms in writing that it has received the deposit.

4. SECURITY DEPOSIT

Before handover of the vehicle, a security deposit must be provided to cover possible damage, loss of equipment, extra cleaning charges, fuel or late return penalties.

The amount, form of deposit (usually a hold on a credit card) and time frame for returning the security deposit will be clearly stated in the booking confirmation and in the rental contract. The deposit will be returned once the vehicle has been inspected and any applicable amounts have been deducted in accordance with the rental conditions.

5. BOOKING CHANGES

Any request to change dates, times, trip duration or vehicle model must be communicated in writing to CapibaraCamper as soon as possible. Changes are always subject to availability and may lead to an update of the price.

If the change results in fewer nights or a lower total amount, handling fees or penalties similar to those set out in the cancellations section may apply.

6. CANCELLATIONS BY THE CUSTOMER

In the event of cancellation by the person who made the booking, and unless a separate cancellation insurance policy with its own terms has been taken out, the following general guideline will apply:

  • More than 30 calendar days before the pick-up date: 100 % of the booking deposit will be refunded.
  • Between 30 and 15 calendar days before the pick-up date: 50 % of the booking deposit will be refunded.
  • Less than 15 calendar days before the pick-up date or in case of no-show at the agreed date and time: the booking deposit will not be refunded.

If the customer decides to start later or end the rental earlier during the trip, there will be no refund for unused days.

7. CANCELLATIONS AND CHANGES BY CAPIBARACAMPER

If, due to force majeure, a serious breakdown or circumstances beyond the reasonable control of CapibaraCamper, the reserved vehicle cannot be provided, an alternative vehicle of similar or higher category will be offered whenever feasible, at no extra cost to the customer.

If it is not possible to offer a suitable alternative, CapibaraCamper will refund in full all amounts paid for the booking. No further compensation will be due for indirect damages, loss of holiday or similar concepts.

8. VEHICLE PICK-UP AND RETURN

The place and time for pick-up and return will be stated in the booking confirmation. It is the customer’s responsibility to arrive on time and to present the required documents (ID, valid driving licence and card for the security deposit).

The vehicle must be returned at the agreed place and time, in a reasonable state of cleanliness and with the tanks (fuel, fresh water, grey and black water) in the condition specified in the contract. Failure to comply with these conditions may result in additional charges according to the current price list.

9. PROPER USE AND BASIC RESPONSIBILITIES

The vehicle must be used in accordance with traffic regulations, the instructions provided and the specific prohibitions set out in the contract (for example, maximum number of occupants, driving off authorised roads, smoking inside the vehicle, transporting pets if not permitted, etc.).

Any fines, tolls or expenses arising from use of the vehicle during the rental period will be borne by the renter, as well as any damage caused by negligent use or use that is contrary to the accepted conditions.
